Hayo-Went-Ha Camps Refund Policy

We understand that every once in a while, circumstances change, and you may need to cancel your campers registration. The camper fees you pay not only secure a place for your camper but also are critical in our ability to hire staff and execute programming. Some options are available to you depending on the timeline of your cancellation:

  • Before March 15 – Full refunds will be issued, with a charged $250.00 administrative fee
  • March 16- June 1 – Families are responsible for 50% of the camp fees for the registered session, plus the $250.00 administrative fee.
  • Cancellations after June 1 will not be refunded. All fees are expected to be paid in full by June 1 unless prior arrangements have been made with the registrar.

What happens if your child’s program is cancelled?

Sometimes, Hayo-Went-Ha Camps may decide to cancel a session due to low enrollment or logistical challenges beyond our control. We will always do our best to help you find another camp session that would be a fit for your camper based on program openings and eligibility.

Should we decide to cancel a program you are registered for, a couple of options are open to you:

  • Move your registration to another program that is available to your camper
  • Roll all fees paid to the following year. Please note that any fees not used or requested to be refunded before the end of the next camp season may be forfeited.
  • Receive a full refund

Sparks Day Camp Program- Changes, Cancellations, and Refunds

As indicated on the Summer Registration Form, the $75 deposit per child per session is not refundable. 

– Cancellations within 7 days prior to camp start dates will result in forfeiture of the full camp fee. 

– Cancellations within 8-30 days prior to start dates will result in forfeiture of one half the program fee. 

– No shows for a registered camp will result in the forfeiture of the full camp fee. 

YMCA Hayo-Went-Ha Camps Code of Conduct Violations Resulting in Dismissal

Campers are expected to behave in a Caring, Honest, Respectful, Responsible and Inclusive manner at all times. Failure to abide by YMCA Camp Hayo-Went-Ha rules and guidelines can result in dismissal from camp. No refunds are given if a child leaves early due to homesickness or for disruptive behavior as determined by their Camp Director. 

We understand that unforeseen circumstances arise that may not allow your child to attend camp. Please do not hesitate to contact registrar@hayowentha.org so we can discuss the best option for your child and family. 

Please note that medical reasons allow you to receive a refund or to have your money transferred to another session. We must have written documentation from your medical provider before any refunds will be distributed.
