Financial Policies – Extended Alaska Program

As extended trips require numerous upfront fees and deposits, as well as charges for guide services, equipment rental, flights, etc., we have established a timeline for payments and developed a related cancellation policy.

The program involves a flight from Detroit Metro Airport to Alaska, sometimes with connections. The cost of this flight is not a part of your camper fees and will be determined as early as February. We work with a travel agent to secure the most economical flight possible for our groups. In past years, flights have ranged from $800 to $1,300 for round-trip airfare. Families will be informed of the cost of flights as soon as they are secured. 

Due to the complexity of group bookings, we cannot use individual frequent flier miles to pay for camper flights.  

  • At the time of registration – a $1000 deposit is due.
  • March 15 – Airfare and 50% of remaining program fees due.
  • May 1 – Participants should be paid in full.

Cancelations

  • Before March 15 – Full refunds, except the flight fare and less the $250 non-refundable deposit, are available. Refunding airfare will depend upon the airline’s policies.
  • March 16 – April 1 – 75% of the camp fee, less the $250 non-refundable deposit, will be available for refund. Refunding airfare will depend upon the airline’s policies.
  • April 2 – June 1 – Two weeks prior to the session start – 50% of the camp fee, less the $250 non-refundable deposit, will be available for refund. Refunding airfare will depend upon the airline’s policies.
  • June 2 – Two weeks prior to the session start – 25% of the camp fee, less the $250 non-refundable deposit, will be available for refund. Refunding airfare will depend upon the airline’s policies.
  • Two weeks prior to the session start – no refunds will be available. Refunding airfare will depend upon the airline’s policies

If you are canceling due to circumstances beyond your control, please contact us [link] as adjustments or exceptions to this policy may be made. In some cases it may be possible for camp to recoup some of the direct costs if another camper is able to take advantage of your spot, in that case we will refund as much of your fees as possible.
